Privacy Policy

Our basic policy on protecting personal information, and how we handle it in practice.

Total Solution Co., Ltd. (the “Company,” “we” or “us”) believes that properly protecting the personal information entrusted to us by our clients, business partners and everyone who contacts us is an important social responsibility of doing business. To comply with the Act on the Protection of Personal Information of Japan (the “APPI”) and other applicable laws, regulations and guidelines, we have established the following Personal Information Protection Policy and make sure that all our officers and employees understand and follow it.

This English version is a translation provided for reference. If there is any discrepancy between the English and Japanese versions, the Japanese version shall prevail.

Personal information protection policy

  1. Compliance with laws and regulations
    We comply with the APPI, other applicable laws and regulations, government guidelines and other relevant norms.
  2. Proper acquisition and use
    We acquire personal information by lawful and fair means after specifying the purposes of use as clearly as possible, and handle it only to the extent necessary to achieve those purposes.
  3. Restrictions on provision to third parties
    Except as permitted by law, we do not provide personal data to third parties without the individual's consent.
  4. Thorough security management
    We take necessary and appropriate security measures to prevent the leakage, loss or damage of personal information.
  5. Supervision of contractors
    When we entrust the handling of personal data to an outside party, we select an appropriate contractor and supervise it as necessary and appropriate.
  6. Respect for individuals' rights
    We respond promptly and sincerely to requests for disclosure and other requests concerning retained personal data, as well as to complaints and inquiries about how we handle personal information.
  7. Continuous improvement
    We regularly review our internal structure and rules for handling personal information and continuously improve them.

Handling of personal information

The specifics of how we handle personal information are set out below.

1. Acquisition of personal information

We acquire personal information by lawful and fair means, mainly in the following situations:

  • When you contact us with an inquiry or request for consultation (by email, phone, etc.)
  • In the course of business communications such as meetings, negotiations and exchanges of business cards
  • When, under a contract, a client entrusts us with work that involves personal information
  • When you apply for a position at the Company

The personal information we acquire is limited to what is necessary in each situation, such as your name, company name, department, job title, email address, phone number, postal address and the content of your inquiry.

Please note that the contact form on this website does not send data to our servers. Instead, it uses the information you enter to compose an email to us in your own email application. Your input is neither transmitted to nor stored on our servers; we acquire your personal information only when we receive that email.

2. Purposes of use

We use the personal information we acquire within the scope of the following purposes:

  • Responding to inquiries and requests for consultation, and contacting you in connection with them
  • Business negotiations, proposals, estimates, and the conclusion and performance of contracts
  • Performing work entrusted to us by clients (within the scope defined in the contract with the client)
  • Providing information about our services
  • Conducting recruitment and contacting applicants
  • Operating this website reliably, keeping it secure and improving it
  • Complying with laws and regulations, and other work incidental to the purposes above

If we change a purpose of use, we will do so only within a scope reasonably considered to be related to the original purpose, and we will notify you of, or publish on this website, the purpose as changed.

3. Provision of personal data to third parties

We do not provide personal data to third parties without the individual's prior consent, except in the following cases:

  • When required by laws or regulations
  • When necessary to protect a person's life, body or property and it is difficult to obtain the individual's consent
  • When especially necessary to improve public health or promote the sound development of children and it is difficult to obtain the individual's consent
  • When necessary to cooperate with a national or local government body, or a party entrusted by one, in carrying out duties prescribed by law, and obtaining the individual's consent is likely to impede those duties

Entrusting the handling of personal data to an outside party to the extent necessary to achieve the purposes of use, or providing personal data as part of a business succession resulting from a merger or other reasons, does not constitute provision to a third party as described above.

4. Entrustment of personal data handling

We may entrust all or part of the handling of personal data to outside parties to the extent necessary to achieve the purposes of use. In such cases, we select contractors that we believe will handle personal information appropriately, set out necessary matters such as security measures and confidentiality in contracts or similar agreements, and supervise the contractors as necessary and appropriate.

5. Security control measures

To prevent the leakage, loss or damage of the personal data we handle, and otherwise to keep it secure, we take the following measures:

  • Organizational measures: We appoint a person responsible for handling personal data, maintain a structure for checking how it is handled, and set procedures for reporting and responding to incidents such as leaks.
  • Human measures: We provide ongoing training to our officers and employees on the proper handling of personal data and ensure strict confidentiality.
  • Physical measures: We properly control the areas and equipment where personal data is handled and take steps to prevent the theft or loss of computers and storage media.
  • Technical measures: We protect the information systems that handle personal data through access control and protection against unauthorized access and malware.
  • Understanding the external environment: Where personal data is handled in a foreign country through the cloud services or other services we use, we take security measures based on an understanding of the name of that country and its personal information protection system. If you contact us at the address given under “Contact” below, we will reply without delay with the specifics of our security measures, including the names of any foreign countries where personal data is handled.

6. Requests for disclosure and other actions concerning retained personal data

If you or your agent request notification of the purposes of use, disclosure (including disclosure of records of provision to third parties), correction, addition or deletion, suspension of use or erasure, or suspension of provision to third parties of retained personal data held by the Company, we will verify that the request comes from you (or your authorized agent) and respond without delay in accordance with the law. To make a request, please contact us at the address given under “Contact” below, and we will explain the procedure. We do not charge a fee for these requests.

We may be unable to comply with a request where the law so provides. In that case, we will explain the reason.

7. Cookies and access analysis

To display pages and provide certain features, this website uses the following external services provided by Google LLC. When you view a page that includes them, your browser may send information such as your IP address, browser type and details of the page you are viewing to Google's servers.

  • Google Fonts: used on every page to display web fonts.
  • Google Maps: used on the Company page to show a map of our location. Google may use cookies when displaying the map.

In addition, to keep this website running reliably and securely, our servers record access logs, including the date and time of access, IP address, browser type and the pages viewed. We do not use this information for any other purpose.

This website currently does not use any access analytics tools or advertising services. If we introduce them in the future, we will revise this policy and let you know. You can disable cookies in your browser settings, but some features, such as the map display, may not work properly if you do.

8. Revisions to this policy

We may review and revise this policy as appropriate in response to changes in laws and regulations, social conditions or our business. Unless otherwise provided by law, the revised policy takes effect when it is posted on this website.
